I try to sit down with my alts before appointments, etc., and make a game plan. I tell them what I'm planning to do, and tell the younger ones that they should stay inside and not participate until it's over. The older ones may come out if they have something productive to help with. This helps sometimes, and probably will get easier with practice. Hope it helps you, too!
I do like your idea of talking to your alters before doing something because I'm always afraid someone inappropriate would show up!

I've found that everyone inside wants the same thing, really... to be safe and to explore life. I've been able to use those common goals to help when I need to convince the younger ones to stay safely inside when necessary or to choose one alt to be with me as a helper when I know I'll be doing something challenging.
It doesn't work for me all the time yet, and sometimes the "helper" comes right out and takes over, but I think we'll all get better with practice, since doing it right means less stress, means more trust, means more safety, means more trust... :-)
As for getting stuck in a hopeless place again, I think that now you know about your alts and are actively working with them, that won't happen anymore for long periods like that. Sure, we all have rough days (even weeks) but we understand them better now and can remind ourselves, even in the dark times, that this has always passed before, and it will pass soon this time.
